What did I promise on that call?

Hi, it's Jon.

The biggest change AI made for me wasn't writing emails. It was call notes.

I'm on calls all day: customers, my team, owners around Greenville. I'd hang up meaning to follow up, and sometimes it slipped. Now an app takes notes on my calls, and AI checks those notes against my email and calendar, so I find out what I missed before the customer does.

Step 1: Get your calls written down. Two apps I'd look at:

  • Granola listens through your computer, so nothing joins the call. It works with Zoom, Google Meet and Teams, and its phone app handles in-person meetings.
  • Fireflies sends a note-taker into your Zoom, Meet or Teams call, so everyone sees it there.

Both write up what was said and the to-dos afterward, and both have a free plan. On Granola's free plan, you and Claude see only your last 30 days of notes. Older notes aren't deleted. They come back if you upgrade.

Most of your calls are on your cell? On an iPhone, Granola can take notes on calls you place from inside the Granola app. That covers calls you make, not calls you get.

Either way, tell people you're taking notes. Granola's own guide says to always get consent.

Step 2: Connect it to Claude. In a Claude chat, click the + button, then Connectors, then Manage connectors. Connect your note-taking app, plus Gmail and Google Calendar if you haven't yet. Fireflies says its connection needs Claude's paid plan, $20 a month.

Step 3: Ask questions none of them can answer alone. For example:

  • "Before my 2 o'clock with the Greer job, what did we talk about last time and what did I promise?"
  • "What did I commit to on calls this week that I haven't followed up on by email?"
  • "Draft a follow-up to everyone I met with today, with what we agreed."

Make it a weekly job. This is Level 3, where AI does the work on a schedule. It needs Claude's paid plan. Start a new chat and type: "Every Friday at 3 p.m., check my call notes from this week against my sent email. List anything I promised that I haven't followed up on, and write the follow-ups as Gmail drafts. Don't send anything." Claude will suggest a schedule. Check it, then click Schedule. If you don't see that, open Scheduled in the left sidebar and click New task.

It runs on Claude's end, so your laptop can be closed. By default, Claude asks before it sends anything. Leave it that way, and read the list. It can miss things, the same way a person can.

Try this week

Turn on a note-taker for your next three customer calls. Then ask Claude what you promised on each one.

Next issue: once Claude can read your inbox, have it study your sent mail and write down how you sound, so every draft reads like you.
